Short answer: an AI receptionist for a small business is a phone number that an AI answers, following instructions you write in plain English. On AgentCall you get a local number, paste a prompt that describes your business, add the number it should transfer to when a caller asks for a person, and turn it on. From then on the AI answers 24/7 in any of 31 languages, remembers returning callers, and emails you a summary after every call. The whole setup is clicks and typing, no code, and new accounts get a 72-hour trial with five minutes of inbound AI to hear it work before paying anything.
This guide walks through the dashboard path step by step, shows the prompt structure that stops the AI from making things up, covers what happens after each call, and ends with a live receptionist you can call right now. If you would rather do it from code or from an AI agent, there is a one-request version near the end.
What an AI Receptionist Does for a Small Business
Most small businesses lose calls for a boring reason: the person who would answer is on a job, with a patient, or driving. Voicemail is where those calls go to die. An AI receptionist picks up on the first ring, every time, and does the four things a good front desk does:
- Answers questions you have written down. Hours, location, services, prices. It reads from the prompt you give it, so it says what you would say.
- Takes a clean message. Name, number, reason for the call, best time to call back. You read it in an email instead of deciphering a voicemail.
- Hands off to a human when it should. When a caller asks for a person, the AI transfers the live call to your cell or front desk. If nobody picks up, it takes a message instead of dropping the caller.
- Remembers who called before. A returning caller gets greeted with context: their name, what they asked about last time, anything you promised them. Memory is on by default and costs nothing extra.
What it does not do is pretend to be a person who knows things it was never told. That is why the prompt section below matters more than the voice you pick.
Set Up an AI Receptionist in the Dashboard (No Code)
Everything below happens on the Numbers page of the AgentCall dashboard. Budget about ten minutes, most of it writing your prompt.
- Create an account and open Numbers. Sign up at agentcall.co and open the Numbers page.
- Get a local number. Click Get a new phone number. Choose United States or Canada, keep the type on Local, and optionally type a 3-digit area code so the number looks local to your town (314 for St. Louis, 416 for Toronto). Click Get this number. New accounts are asked to verify a card first so numbers go to real businesses; the card is not charged and no subscription starts. Your 72-hour trial clock begins when the number is allocated.
- Pick a starter and name your business. The AI receptionist setup opens on its own as soon as the number is yours. Under Quick start choose one of five starters: Receptionist, Appointment booking, Lead qualifier, Customer support, or Call screener. Type your business name in Business or your name. The prompt, voice, and opening line fill in with your name substituted. You could turn it on right here, but one more step makes it far better.
- Paste a four-section prompt and choose a voice. In What should it say and do?, replace the starter text with a prompt built the way the next section describes: what you do, your prices, how to handle the call, and what never to say. Pick a voice from the ten standard options and hit the preview button to hear it. Leave Language on Auto so the AI matches whatever language the caller speaks, or pin one of the 31 supported languages if you serve a specific community.
- Add a transfer number and a summary email. In Transfer to a human, enter your cell or front desk with the country code, like +1 314 555 0000. Under Post-call email notification, enter the address that should get a summary after every call. There is also a Text me call summaries field if you want the same summary as a text (US numbers only, billed as one outbound text).
- Turn it on and call it. Click Turn on AI receptionist. The dialog changes to "Your AI receptionist is live" with a Call to test button. Dial the number from your phone. Until you click that button, calls to a brand-new number hang up, so do not skip the save.
On the trial, each test call draws from your 300 inbound AI seconds, so a couple of two-minute test calls is the right budget. The dialog shows your remaining allowance while you work.
The Prompt That Stops the AI Receptionist Making Things Up
The prompt is the AI's entire knowledge of your business. There is no training step and no document upload: if a fact is not in the prompt, the AI does not know it, and a vague prompt invites it to fill the gap with something plausible. The structure that holds up on real calls has four sections, and the voice prompts guide explains each one in detail. Here is the whole thing filled in for a dental office:
You are the front desk for Brightsmile Dental, a family dental practice in St. Louis, Missouri.
WHAT WE DO:
- General dentistry: cleanings, exams, fillings, crowns, and whitening.
- Emergency visits for tooth pain or a broken tooth, usually same day or next day.
- Hours: Monday to Friday, 8am to 5pm. Closed weekends.
- Address: 1200 Olive Street, St. Louis. Free parking behind the building.
- We accept most PPO dental insurance. We do not accept Medicaid.
PRICING:
- New patient exam with X-rays: $129.
- Adult cleaning: $110.
- Emergency exam: $95. Treatment is quoted after the exam.
- Whitening: $349.
- For any other price, say the dentist quotes it after an exam.
INSTRUCTIONS:
- Greet the caller, find out why they are calling, and keep replies to one or two sentences.
- To book or change an appointment, collect full name, phone number, preferred day and time, and the reason for the visit. Read it back to confirm. Say the office will text a confirmation.
- If the caller is in pain, acknowledge it and offer the earliest emergency slot: "We can usually see you today or tomorrow."
- If the caller asks for a person, or asks something not covered here, offer to transfer them to the front desk.
- If the caller says goodbye, thank them and end the call.
NEVER:
- Invent prices, insurance coverage, or availability that is not listed above.
- Give medical advice beyond "please come in" or "if you have swelling or a fever, go to urgent care."
- Promise a specific dentist or a specific time slot. Say the office will confirm.
- Stay on the line after the caller has said goodbye.Three things make this work. PRICING has real numbers, because without them the AI invents "starting at" figures. INSTRUCTIONS says what to do when it does not know, which is the single most common gap in prompts that go wrong. And NEVER is explicit, so the model has a hard rule to fall back on instead of a vibe. Swap the business details and the same skeleton works for a plumber, a law office, a salon, or a landscaper.
If you would rather start from a template with bracketed placeholders, five of them (receptionist, lead-qualifier, appointment-booker, customer-support, call-screener) are published at a public endpoint, no login needed:
curl https://api.agentcall.co/v1/calls/prompt-templatesPrompts are capped at 10,000 characters. A focused single-purpose prompt like the one above lands well under that, and one number should do one job: run a second number for sales if the first one is support.
Transfer to a Human When the Caller Asks
The transfer field is what turns an answering machine into a receptionist. When it is set, the AI hands the live call to that number in two situations: the caller asks for a real person, or the AI realizes it cannot help with what they need. It says a short handoff line, then connects the call. Whoever picks up sees the caller's number, not your business line, so you can call them straight back if the call drops.
If nobody answers within about 25 seconds, the AI comes back on the line and takes a message instead. The caller is never left listening to ringing, and you still get the summary email. There is no webhook, no phone tree, and no extra software to set up; it is one field in the dialog.
Two practical notes. AI minutes stop at the moment of handoff, and the human part of the call bills at the standard voice rate of $0.035 per minute rather than the AI rate. And the max call length setting covers the whole call including the time after the handoff, so if your transferred conversations run long, raise it (the cap is 60 minutes).
What Happens After the Call: Summary Email, Memory, Call Reports
A receptionist that answers but tells you nothing is only half the job. After every call, three things happen without you doing anything.
You get a summary email. AgentCall summarizes the transcript and emails a plain-English summary to the address you set: who called, what they wanted, how urgent it was, and when to call back. Spam calls are suppressed so your inbox is not full of robocall recaps. If you entered a number in Text me call summaries, the same summary arrives as a text (US numbers only, one outbound text per call, reply STOP to turn it off).
The caller is remembered. Auditable Call Memory is on by default for every account. Each call produces a structured Call Report (intent, action items, sentiment) and a set of memory entries, and every memory entry quotes the line in the transcript it came from, so you can see exactly why the AI "remembers" something and edit or delete it. The next time that person calls, the AI already knows their name, what they asked about, and anything you committed to. The memory docs cover the report format and the account-level toggle, and this post shows what a remembered second call sounds like.
Everything is in the dashboard. The Logs page shows each call, its transcript, and its report. If you later connect your own tools, the same summary is available as a webhook event, but you do not need any of that to get started.
Do It From Code or an MCP Agent Instead
Everything the dialog does is one API request. Provision a number, then send its inbound configuration. The field names below are the exact ones the API accepts:
curl -X POST https://api.agentcall.co/v1/numbers/num_abc123/inbound-config \
-H "Authorization: Bearer YOUR_API_KEY" \
-H "Content-Type: application/json" \
-d '{
"mode": "ai",
"systemPrompt": "You are the front desk for Brightsmile Dental... (paste the four-section prompt above)",
"voice": "sage",
"language": "auto",
"firstMessage": "Thanks for calling Brightsmile Dental. How can I help you today?",
"maxDurationSecs": 900,
"transferTo": "+13145550000",
"notify": {
"emailTo": "frontdesk@brightsmiledental.com",
"businessName": "Brightsmile Dental"
}
}'voice is one of alloy, ash, ballad, cedar, coral, echo, marin, sage, shimmer, or verse. language defaults to auto; pass es or any other supported code to pin it. Send the same request again to change the prompt; the next call picks it up with no redeploy. For the webhook comparison against building this yourself on a traditional telecom API, see AgentCall vs Twilio for inbound calls.
If you already work inside Claude Desktop, Cursor, or another MCP client, you do not even need the curl. Paste https://api.agentcall.co/mcp with your API key into the client (setup in the MCP guide), then tell it: "Set up an AI receptionist for Brightsmile Dental on my number, transfer to +1 314 555 0000, email summaries to the front desk." The server ships a built-in setup-inbound-ai-receptionist prompt and a configure_inbound_ai tool, so the agent fills in the same fields the dashboard does.
What an AI Receptionist Costs on AgentCall
New accounts receive a one-time 72-hour live trial with one US/Canada local number, 300 managed inbound AI seconds (five minutes) total, and five SMS send attempts to verified destinations. Card verification is required before number allocation; the clock starts when allocation succeeds. There is no monthly reset or automatic paid subscription. Live OTP extraction and outbound calls require Pro.
Pro is $19.99/month plus number rental and usage: local/mobile numbers $2/month each, toll-free $2.50/month, outbound SMS $0.015/message, standard outbound voice $0.035/min, managed AI voice $0.40/min, BYOK voice $0.10/min plus your AI provider's charges, or Premium Voice $0.59/min. AI calls round up to whole minutes per call. New-account destination/business verification can still apply after upgrading.
In practice, for a small business running one receptionist number on Pro: $19.99 per month plus $2 for the local number, then $0.40 for each minute the AI is on a call, rounded up to the whole minute per call. A three-minute call is $1.20. If a call is transferred, the AI meter stops at the handoff and the human portion bills at $0.035 per minute. Caller memory and the summary email add nothing. Optional extras, all Pro only: Premium Voice at $0.59 per minute instead of $0.40 for a more natural voice, call recording at $0.01 per minute, and a bring-your-own OpenAI key mode at $0.10 per minute where you pay OpenAI directly for model usage.
Honest limits: the trial is inbound only, so the AI answers but does not place calls until you are on Pro. Numbers are available in the United States and Canada only. Toll-free and mobile numbers are Pro only. The complete list, with the questions people ask before upgrading, is on the FAQ, and the voice product overview is at AI voice calls.
FAQ: AI Receptionist for Small Business
Do I need a credit card to try an AI receptionist on AgentCall?
Yes. New accounts verify a card before a number is allocated. The card is not charged and no subscription starts. The one-time 72-hour trial begins when the number is allocated and includes one US or Canada local number and 300 managed inbound AI seconds (five minutes).
Can the AI receptionist transfer a caller to a real person?
Yes. Add a transfer number (your cell or front desk) and the AI hands the live call over whenever the caller asks for a person or the AI cannot help. Whoever answers sees the caller's number. If nobody picks up within about 25 seconds, the AI resumes and takes a message. The human part of the call bills at $0.035 per minute; AI minutes stop at the handoff.
What happens when the 72-hour trial ends?
New trial calls stop. Your prompt, settings, call reports, and memory stay in the account. The number is held for at least 48 hours before release, and upgrading to Pro during that hold keeps it. Nothing is charged automatically.
Does the AI receptionist work outside the United States and Canada?
Numbers are available in the United States and Canada only; other countries are not available yet. The AI itself speaks 31 languages plus an auto mode that matches the caller's language from their first reply.
Can the AI receptionist make outbound calls too?
Outbound AI calls require the Pro plan ($19.99 per month plus usage, $0.40 per minute managed). The trial covers inbound answering only. Once on Pro, the same number can both answer calls and place them.
Hear One Working Right Now
AgentCall's own receptionist is built the way this post describes: a local number and a four-section prompt with real prices in it. Call it from your phone:
Ask it what AgentCall costs or ask it to explain the trial, and notice that it does not invent anything that is not in its prompt. Then hang up, open the dashboard, and build yours. By the time you have typed your prices into the prompt, you are about four clicks from hearing your own number answer.
